Upload

  1. Step 1: Open the period (open or in review) and go to 3. Expenses.
  2. Step 2: Press Upload invoices, or drop files on Drop supplier invoices here, or browse. You can add several at once: PDFs or photos (JPEG, PNG, WebP), up to 15 MB each.
  3. Step 3: Each file appears under Invoices being read with Reading the invoice…. It usually takes a few seconds.
  4. Step 4: When a card shows the supplier, number, total and a confidence chip, press Review & add.

Review and add

The Review invoice form shows the invoice next to the fields. Fields the AI filled carry an AI-read tag until you change them. The Read from the invoice box also lists what it found, such as VAT id, IBAN, service period and due date.

  1. Step 1: Compare the Supplier, Amount, Supplier invoice no. and Invoice date with the invoice.
  2. Step 2: Check the suggested Expense type and Shared by (whole organization or one building).
  3. Step 3: If the supplier is new, choose Create supplier in the supplier list; it's added to your suppliers when you save.
  4. Step 4: Press Add expense.
Confidence chipWhat to do
High (85% or more)Still glance at the amount and date.
Medium (70–84%)Check every field.
Low (under 70%)The form warns you to check the amounts carefully; treat it as a starting point.

When reading doesn't work

  • A card that Couldn't be read offers Enter by hand; the file stays attached to the expense.
  • Invoices in another currency leave the amount empty. Enter it in your organization's currency.
  • Without AI, or once the daily limit (300 invoices per organization) is reached, add expenses with Add by hand and Attach invoice file.
  • Remove a card you don't need with its X (Discard).

The stored invoice opens from the Supplier invoice column on the expenses list.
